SEAHO 2010 will take place February 24-26 at the beautiful Williamsburg Lodge and Conference Center in Historic Colonial Williamsburg, Virginia.

The Williamsburg Lodge rooms are spread across five buildings/wings and are smoke-free. If someone wants to smoke, it is recommended they request the Tazewell wing rooms where they can smoke on a patio/balcony.

As a budget option, a limited number of 25 rooms have been blocked at the Williamsburg Woodlands Hotel.
The Woodlands is a 1.5 mile drive around Colonial Williamsburg to the Williamsburg Lodge conference site but a slightly shorter walk through Colonial Williamsburg. A free Colonial Williamsburg bus/shuttle is available to transport hotel guests from the nearby Visitor’s Center to the Williamsburg Lodge between the hours of 9:00am-10:00pm. The Lodge is the 5th stop along the bus/shuttle route and takes approximately 15-20 minutes to reach the Lodge.
Hotel Cancellation Policy (either location): All room reservations require a credit card guarantee or a one night deposit. Room cancellations must be made 48 hours prior to check-in/arrival. Cancellations must be made during business hours, 8:30am - 5:00pm EST Mon-Fri, by calling 1-800-261-9530.
Reservation Cut-Off Date: January 29, 2010 is the deadline to reserve a room. Reservations after the 29th will be accepted based on room availability.

When will registration materials be available?
Registration is now open - Delegate Registration.
What payment methods are available?
You may pay for your registration by credit card, check, or PayPal (a service charge applies for PayPal). You will be able to submit that information on the registration site. Check or money order should be made payable to SEAHO 2010. If you have a Purchase Order Number, remember this is only a promissory note, and we must have full payment by the time you arrive for the Conference.
What are the cancellation policies?
Registration cancellations on February 1 or after receive a 50% refund.
Registration cancellations on February 15 or after receive a 0% refund.
Does SEAHO 2010 have a Federal Tax ID Number?
Yes, it is 57-0735212.
What is the conference registration deadline?
Early registration ends on January 21, 2010. After this date, late Registration for the conference will begin on January 22, 2010. There will be a $50 late fee added to your registration cost.
When does late registration end?
On-line registration ends February 11, 2010. After that date, participants may register at the conference. However, we encourage all participants to register prior to February 11, 2010.
Will I be able to register on-site?
Yes, however you will be charged the $50 late registration fee. We also discourage people from registering on-site as we determine meals and other activities based on registration prior to the Conference.
What hotel is available for SEAHO 2010 delegates?
The Williamsburg Lodge and Conference Center will be the Conference Hotel and host site for SEAHO 2010 .
What are the hotel room rates?
The special SEAHO 2010 room rates on-site at the Williamsburg Lodge Conference Center are:
$158 (plus taxes) for Deluxe rooms, single or double occupancy (most available) $137 (plus taxes) for Superior rooms, single or double occupancy (fewer available) Rates are available three days before and three days after the conference. Be sure to request the SEAHO 2010 Conference Rate when making your reservation.
Is there a cut-off date for hotel reservations?
Yes, the cut-off date is January 29, 2010.
Can I purchase extra meal tickets?
Yes, you will be able to purchase additional meal tickets when you register online with the conference registration website. You will also be able to purchase additional meal tickets in person at the conference registration desk.
What if I have special dietary needs?
Each meal will include vegetarian options. There will be a place to indicate dietary needs on the conference registration site. Please be sure to include any known food allergies you may have.
Who is eligible to participate in SEAHO Placement and what are the costs for Placement?
Only SEAHO members may utilize SEAHO Placement Services. All delegates who are registered for the SEAHO 2010 Conference by Wednesday February 24, 2010 may participate in Placement Services free of charge (Placement Services are included in the delegate registration fee).
What is the schedule for SEAHO 2009 Placement?

Associates/Vendor Sponsorship Opportunities
According to the SEAHO constitution, our purpose is to:
Provide an opportunity to college and university housing officers for personal and professional growth through attendance at an annual conference and to facilitate an exchange of ideas and dialogue with professional colleagues.
At the conference there will be many professionals that are influential in the purchasing process or will be making these decisions in the near future. It is our goal to give them and you every opportunity to interact. In a time of low institutional budgets, your sponsorships help us keep this conference as a viable option for many housing professionals.There are a variety of items that we hope to get sponsored in an attempt to keep costs down for delegates, from meals and breaks, volunteer t-shirts, notebooks, or gifts in our welcome bag. Please take a moment and look at the options for sponsorship, then decide where you can help. Those who make the decision to sponsor will receive special recognition during the conference.

Associate/Vendor Booth Registration:
Requests will be processed on a first-come, first served basis. Every attempt will be made to honor requests. Booth assignments are not confirmed until after payment is received.Please take a look at the floor layout and identify several preferences for your booth location. Indicate where you would prefer to be located in the exhibit hall by listing booth numbers on the registration form. If you will need more than one booth, list all the booths for each preference. For example, if you need one booth just list that number, but if you need two booths list both numbers (71-72). Double booths must be side by side.

Terms of Participation:
Submission of this registration for exhibit space at the SEAHO 2010 annual conference indicates the Associate’s willingness to abide by all exhibit terms and general regulations as they are provided to the Associates.
Associate/Vendor Frequently Asked Questions:
· What do we do if we need help with freight or a data drop in our booth?
Exhibits, Incorporated will coordinate all requests for additional items needed for your booth set up. They will provide assistance with freight, electrical service, rental items, and labor. Exhibits Inc. will be contacting you several weeks before the conference and sending you a packet of info. If you have questions please contact them at (804) 788-4400. The exhibit area (Virginia room,) will be available for associate set up on Tuesday 2/23 and in the morning of Wednesday 2/24.
· What are the Exhibit Hours?
The exhibit area will be open on Wednesday, February 24 from 11am - noon for Chief Housing Officers. The exhibit area will then reopen to all Conference Delegates on Wednesday from 2:30 pm – 5:30 pm with the Associates Reception to follow. After the Associates Reception, the exhibit area will be secured for the evening. The exhibit area will re-open on Thursday, February 25 at 8:30am with breakfast and lunch served with the Associates and will close at 2pm after the Associates drawings.
· How do you make sure delegates get into the exhibit area?
This year we have decided not to do stamp cards but will strongly recommend they take the time to interact with associates. In addition meals will be held in that area.
The Associates reception on Wednesday evening will be held in the exhibit area before the opening banquet. Breakfast and Lunch on Thursday will also be served in the exhibit area.
Associate prize drawings will be held after the lunch break on Thursday. If you have an item you would like to submit for the drawing, please notify the host committee or any of the Associate Chairs listed below
· What items are included with a booth rental?
The booth rental fee includes an 8X8’ single ($875) or 16X8’ double ($1,750) space that will have 8’ high pipe and drape back drop with 3’ high side rails. The rental fee also includes: 6’ table; 2 chairs; a sign; and a ticket for breakfast and lunch on Thursday (2 tickets for double booths.) Each delegate will receive a guide to the Associates exhibit area that lists each company and highlights companies who have provided sponsorships.
Several weeks before the conference, all registered Associates will receive a list of attending delegates.
· Can we purchase additional meal tickets?
The cost for additional meal tickets at SEAHO 2010 will be:
o Thursday Continental Breakfast $10
o Thursday Lunch $15
You will also be able to purchase additional meal tickets in person at the conference.
· What if we have to cancel our Booth Registration?
You may cancel up until February 1, 2010 with a full refund. Any cancellation after that date but before February 15, will only receive at 50% refund. Cancellations after February 15 will not be eligible for a refund. Companies are encouraged to send another representative to replace the individual who cannot attend.
